VH Designs may not be an event planning company per say, but there sure is a lot of planning that goes on to make sure the decor for your event is absolutely perfect!

We generally try to stick to a regimented timeline to make sure no detail is left untouched; however, each client and event is totally unique and may require more time during each stage of the process. Here’s what you might expect when creating your event with VH Designs:

6 Months to 1 Year Before the Event

The Initial Meeting:

This is the foundation of the planning process. During this meeting, you’ll discuss the vision for your event, the overall vibe, color palette, and must-haves and inspiration. It’s a collaborative brainstorming session to ensure we have a true understanding of you. Some clients come in knowing exactly what they want while others have no idea where to start. If you are unsure of the direction you want to go there is no need to stress. Our designers have a great intuition when it comes to creating parties from the ground up!

After this meeting, our designers will work their magic to create a digital proposal outlining each aspect of the event. We then meet as a team to ensure that the proposal meets all of our criteria; visually, logistically, and financially.

2 weeks After the Initial Meeting

Event Proposal Delivery

Approximately 2 Weeks later you can expect to receive a detailed event proposal outlining the design concept, floral arrangements, décor, and estimated costs. Depending on the scope of your event, this process may take a little longer, especially if we need to create a mood board or get quotes from our partners. This is your opportunity to review and refine the vision together to ensure every detail aligns perfectly with your expectations. 

 

3 Months Before the Event

Studio Sample Preview

For our larger events, we will schedule a sample about 3 months before your party. You’ll visit the studio to view a sample of key design elements—such as floral arrangements, centerpiece mockups, or color combinations. This hands-on preview allows you to see how the ideas come to life and provides the chance to make adjustments if needed. 

 

2 Weeks Before the Event

Final Details

During this stage, you’ll confirm the final guest count, table arrangements, and any last-minute updates. This ensures that all details are locked in, leaving nothing to chance. This is the time when the flowers are ordered and any custom graphic designs are sent to print. 

 

Event Day

Execution and Celebration

On event day the VH Designs team takes over to bring your vision to life. The team will set up, style the space, and ensure everything is picture-perfect. All you need to do is enjoy your special day while every detail is handled seamlessly. We even have a special team to come clean up the decor after the event!
